Prepare a transport brief your IT team can recognise.

Give equipment a reference that appears on both the inventory and the destination plan. Ask the IT provider which accessories or related items should be kept together and who is preparing them.

  • Identify the equipment included in this stage of the move.
  • Supply the relevant physical handling instructions through the agreed channel.
  • Name the contact who can confirm release and the person receiving delivery.
  • Record any timing dependencies that affect the moving window.
  • Confirm who reconciles the inventory at each handover.

Keep credentials and technical recovery information within your organisation’s approved IT processes. A moving label should identify the item and destination, not contain passwords or access details.

If technical preparation runs late.

Tell the move coordinator which items are affected and which remain available under the agreed plan. Ask the moving provider about the implications before promising a replacement collection slot.

Confirm whether a partial move would still meet the agreed scope. Document any approved change so the inventory, receiving contact and IT schedule stay aligned.

Does physical transport include IT reconnection?

Do not assume it does. JB’s published office service distinguishes physical handling from the IT provider’s preparation, reconnection and testing responsibilities. Confirm your actual scope with each provider.

Can all departments move at the same time?

Give the providers your priorities and constraints. Agree a workable sequence and any staged requirements instead of assuming a single arrival time resolves every dependency.

Who says the office is ready for staff?

Your organisation should nominate the person who makes that decision using the relevant physical, technical and business checks. Keep any unresolved tasks visible in the handover record.
