Shared-House Moving Checklist for Sydney
Moving one bedroom can still involve a whole household. Agree what belongs to whom, separate what stays and give the crew one clear set of instructions.
This checklist is for a flatmate leaving, joining or changing a shared home. It focuses on decisions that a general packing list can miss: shared furniture, kitchen cupboards and belongings that must stay. Agree the moving inventory with your flatmates
Start with a room-by-room walk-through, including shared cupboards, balconies and any storage cage. A bedroom-only estimate can miss your desk in the lounge, a bicycle downstairs or boxes above a wardrobe. Record only belongings you are authorised to take.
Use four headings: moving with me, staying in the home, waiting for agreement, and separately arranged collection. Do not count an unresolved shared item as part of the confirmed load. Decide ownership with the relevant people before the crew arrives; removalists cannot resolve a disagreement for you.
- Identify your bed, mattress, desk and other large items individually.
- List personal kitchenware separately from communal appliances.
- Confirm the destination for any jointly owned furniture in writing.

Create a clear no-load area for belongings that stay
In an occupied share house, a packed box does not necessarily belong to the person moving. Choose a separate, clearly labelled place for the outgoing load and tell everyone where it is. Keep corridors, exits and the carrying route unobstructed.
Label items that stay with plain wording such as STAYS HERE. Use labels or tags that will not damage finishes. A colour system can help, but put words on the label too: the crew should not need to remember which flatmate chose blue.
Keep your keys, wallet, essential medication, phone and move documents with you. Tell the team which rooms are outside the agreed scope before loading starts. A last look through the shared kitchen and bathroom can catch personal items without reopening every packed carton.
Label boxes by owner and destination room
Use the same format on the top and visible sides of each carton: owner or agreed initials, destination room, contents and box number. For example: ALEX — BEDROOM 2 — BOOKS — 3 OF 5. Avoid putting private information on outward-facing labels.
At the new home, agree bedroom names before arrival. Bedroom 2 is more useful than my room when several people are directing a move. Label a sketch of the destination layout and keep a copy with the person receiving the delivery.

Coordinate flatmates, keys and arrival windows
Choose one booking contact and one person who can answer inventory questions at pickup. If a different person receives the delivery, give JB their contact details with their permission. Share an agreed plan with the household so nobody starts moving boxes into the carrying route.

Prepare a first-night kit that is actually yours
Shared essentials may remain with the household. Check that you have your own bedding, towel, charger, toiletries, drinking cup and anything needed for the next morning. Keep a small essentials bag separate from the truck load.

- Empty your own drawers and pack loose belongings before collection.

Use a simple pickup and delivery handover
At pickup, show the crew the agreed load and the items that remain. Point out anything fragile, damaged or awaiting a decision before it is handled. Keep one list so instructions are not being changed by several people at once.
At delivery, match the carton count and large-item list against what was collected. Ask for boxes to go to the labelled room while the route is clear. Note any item you cannot locate and raise it promptly, with its label or description.
Finish with a walk-through at the old home. Check your storage shelf, laundry area and outdoor space, then hand over keys as separately arranged. This final check is more reliable than assuming an empty bedroom means every personal item has been collected.
Common questions
Can I book a move for just one bedroom?
Send the actual furniture and carton list, both addresses and the access details. A room-sized move still needs an assessment of the load, carrying distance and any stairs. Ask JB to confirm the booking scope and price before committing.
What if my flatmate and I both own the sofa?
Agree who is keeping it and where it is going before collection. If the decision is unresolved, keep it out of the confirmed moving inventory and tell the crew it must not be loaded.
Do all flatmates need to be there?
The important point is a clear, authorised contact who knows which items are moving. Arrange access with everyone affected and nominate a delivery contact if you cannot attend the new home.
How do I stop the wrong boxes being loaded?
Separate the outgoing load, label it by owner and destination, and identify the no-load area during the pickup walk-through. Written labels plus a confirmed inventory are clearer than colour coding alone.
Can two flatmates share the same removal booking?
Explain the complete plan to JB, including each owner, pickup, destination and contact. Confirm how the scope, changes and payment will be handled. Do not assume adding another person’s items leaves the original quote unchanged.
What if another flatmate is also moving that day?
Coordinate arrival times and the carrying route in advance, especially if there are two trucks or removal crews. Tell JB about shared lift bookings or access windows so the job can be assessed realistically.
Should I put my keys in the first-night box?
No. Keep keys and access cards with you or a designated person. A first-night box may be inaccessible during loading, and the new property must be available before delivery can proceed.
